Assistant to the Office of the Executive and Deputy Directors [CLOSED]

REPORTS TO

Executive Assistant & Board Liaison

JOB SUMMARY

The primary role of the Assistant to the Office of the ED/DD will be to support the Executive Assistant & Board Liaison to organize, develop and maintain efficiency where needed in various areas of the office of the ED/DD. This position will work with the Executive Assistant directly and help him provide the highest level of support to this office.

RESPONSIBILITIES

  • General office administration: organizing, scheduling, filing, and stocking/restocking of supplies.
  • Attention to detail in typing and correspondence drafting.
  • Greet guests to office in a professional manner.
  • Provide general clerical support for the departments' including filing, archiving and organizing.
  • Answer phones and route calls.
  • Tidy common areas.
  • Prepare expense reports.
  • Handle all incoming and outgoing correspondence such as mail and faxes.
  • Coordinate travel for the ED, DD and their guests.
  • Possibility for light personal errands.
  • Other duties as required.

REQUIRED QUALIFICATIONS

  • 2–4 years of office administrative assistance experience (a Bachelor's Degree can substitute for on the job experience).
  • Exceptional verbal and written communication skills and interpersonal skills are a must.
  • Ability to work in an open, transparent and collaborative environment.
  • Ability to adapt quickly and easily to changing requirements in a fast-paced, tech based non-profit organization.
  • Must be able to adhere to deadlines and perform high quality work under general supervision.
  • Working knowledge of the wiki environment is a plus.
  • Excellent organizational and calendar management skills.
  • Solid grasp of word processing and spreadsheet programs such as OpenOffice or Microsoft Word/Excel.
