JOB SUMMARY
The primary role of the Assistant to the Office of the ED/DD will be to support the Executive Assistant & Board Liaison to organize, develop and maintain efficiency where needed in various areas of the office of the ED/DD. This position will work with the Executive Assistant directly and help him provide the highest level of support to this office.
RESPONSIBILITIES
- General office administration: organizing, scheduling, filing, and stocking/restocking of supplies.
- Attention to detail in typing and correspondence drafting.
- Greet guests to office in a professional manner.
- Provide general clerical support for the departments' including filing, archiving and organizing.
- Answer phones and route calls.
- Tidy common areas.
- Prepare expense reports.
- Handle all incoming and outgoing correspondence such as mail and faxes.
- Coordinate travel for the ED, DD and their guests.
- Possibility for light personal errands.
- Other duties as required.
REQUIRED QUALIFICATIONS
- 2–4 years of office administrative assistance experience (a Bachelor's Degree can substitute for on the job experience).
- Exceptional verbal and written communication skills and interpersonal skills are a must.
- Ability to work in an open, transparent and collaborative environment.
- Ability to adapt quickly and easily to changing requirements in a fast-paced, tech based non-profit organization.
- Must be able to adhere to deadlines and perform high quality work under general supervision.
- Working knowledge of the wiki environment is a plus.
- Excellent organizational and calendar management skills.
- Solid grasp of word processing and spreadsheet programs such as OpenOffice or Microsoft Word/Excel.
